Summer Conference Coordinator Position Description Summer 2016 Position Summary Conference coordinators (CC) are the link between individual camp directors and Residential Living throughout the summer. The two CCs directly co-supervise the crew of conference hosts and ensure the efficient operation of the front desks. They oversee check-in and check-out procedures and are often called upon to troubleshoot in unique situations. Conference coordinators run weekly meetings with their staff, meet individually with camp directors, and present information to groups of camp counselors; therefore, good communication skills are essential. All employees in Residential Living are expected to help create and promote an awareness of and respect for the university and Residential Living, through positive personal interactions with residents, students, staff, and visitors. Accountability The CCs report directly to the assistant director of summer conferences – desk operations Specific duties • Actively participate in and assist with a pre-summer conference all-staff meeting, to be held in the evening on April 27, 2016 in the DUC Alumni Room • Train and supervise conference hosts (CH) • Meet with CH crew on a weekly basis to cover upcoming conference groups, special requests, and procedures • Periodically evaluate individual CH crew member performance both formally and informally • Take part in disciplinary actions as needed • Address in a creative manner any ethical issues of the conference hosts • Act as a role model for CH crew at all times • Meet with conference counselors and participants regarding their responsibilities • Maintain daily communication with the director of each conference group • Respond to questions and concerns of individual camps • Follow up with camp director as problems arise and damages are reported • Assume evening on-call responsibilities (alternate with other core staff) • Coordinate desk operations for conferences • Establish CH desk hours and on-call schedules • Oversee check-in and check-out activities of individual camps • Ensure CH crew provides excellent customer service and accurate records • Complete a report regarding any incidents after each conference • Actively serve as a member of the core staff management team • Attend and participate in weekly core staff meetings and other activities • Perform other duties as assigned by supervisor General qualifications The requirements of this position are not compatible with taking classes in the summer. • Be enrolled student at a UW System school • The CC may not be involved with summer classes, internships, or other activities that would interfere with their ability to attend to their CC duties • If you accept a full time position in Residential Living, you may not work for another UWSP department concurrently, as this would put you into overtime pay status • Applicants for these positions should have previous employment experience in Residential Living, preferably on one of the summer conference crews, and/or comparable work experience elsewhere. Past experience as a conference host is strongly preferred • Past residence hall staff experience or management experience with the potential to succeed as a peer supervisor is a plus • Minimum cumulative GPA of 2.5 • Excellent organizational skills • Able and willing to speak before large groups • Proven reliability and ability to work independently • Able to get along and work well with other people • Must be willing to work weekends and evening hours • Strong customer service skills Previous employment in any summer conference position does not guarantee future employment in that same position. Miscellaneous There are several time periods during which CCs are expected to be available, due to the specific needs of these conferences. Check with your supervisor before making vacation plans; time off is not guaranteed. Wages and other information $12.00/hour Conference coordinators are required to live on campus. Housing is provided at no charge. An average of 30-40 hours per week is expected. Contract period Conference coordinators begin on May 23 and work until approximately August 12, 2016. This is subject to change should the summer conference schedule be adjusted. Fall 2016 residence hall staff will be excused early for training as needed. Time off Your supervisor will work with you to allow for a reasonable work load and time off each week. An average of thirty hours per week is our expectation, although some weeks you may work more than thirty hours, and other weeks will be less. Any time away must be requested in writing to the supervisor at least two weeks in advance, and is not guaranteed. Specific days off needed in August must be disclosed prior to signing your employment contract.
