Spring Rosters Due: December 1st This will be to decide what your organizations need
to reach Total and will better help decide what Total is after Spring Recruitment. If you
do not update after Fall semester, some graduated/disaffiliated members might be
seen as still active and will reduce the amount of women you may give bids to.

Class Conflicts
If you have a class schedule conflict please email your course and date
and time of class so that we can rearrange your event schedule in

Information Sessions
To go through Panhellenic Recruitment each woman is required to go to
ONE of two information sessions. These will help prepare you for
recruitment week. The dates and times for this year’s sessions are
September 8th and September 11th. If you cannot make it to either of these
meetings you MUST set up a time to meet with the Greek Advisor or
Panhellenic Exec Board member during their office hours. Office hours
will be posted in the Student Activities Building.
Social Media
Do you have a Facebook, Instagram, Twitter, etc.? These social media
sites are great ways to communicate and share information about you.
With that, please be mindful of the image you are portraying with your
information and pictures. Panhellenic wants you to send the right
message about you and your character to all the sororities. You will need
to upload a picture of yourself on the registration form.

Women who are interested and/or registered for Panhellenic Sorority
Recruitment should “like” the Greek Life page in order to receive updates
about recruitment information. This is also a great way to see who else is
going through recruitment and answer some of the questions you all
might have.

Missing Events
In the event of illness or other emergency, you should notify your
recruitment counselor immediately. The chapters understand that
emergencies come up, and that classes always come first! If you are an

What to Bring
Just Yourself! Panhellenic will provide you with everything you need, so
the less you bring the better! Please be sure your cell phones are turned
off or silenced. The Rho Chis will give you instructions for what you
should wear on each day.

WHAT IS FORMAL RECRUITMENT?
The sorority recruitment experience at Saint Leo lasts 5 days. There are 3
rounds. In the first round (30 Minute Interest Parties), you will visit every
single sorority. As recruitment continues through the second, third and
fourth rounds of events, the number of women that a sorority can invite
to its events decreases and the number of events that a woman can
attend also decreases. On Hour interest Nights (second round), you can
visit up to 4 sororities over a two-night period, and on Preference Night
(third round), you can visit up to 2 sororities. During these events, both
the PNMs and the sororities are narrowing down their choices. On Bid
Day, each PNM will be accepting one bid, or invitation to become a new
member of a sorority.
WHAT IS PANHELLENIC?
The College Panhellenic Association is the governing body of our three
National Panhellenic Conference (NPC) sororities, one local sorority, one
Latina sorority, and one historically African-American sorority on the
Saint Leo University campus and unites every sorority woman regardless
of individual affiliation. The Recruitment period is for those who wish to
join the three NPC organizations and our local sorority. Every woman
who joins a NPC member sorority becomes a member of Panhellenic. The
Council executive board is voted on by all chapters and each chapter is
represented by one delegate. Together, the council members strive to
unite all sorority women and strengthen their values. The Panhellenic
Council is responsible for promoting scholarship, philanthropy, personal
growth, health, safety, and involvement in sorority life and the Greek
community as a whole.

WHAT ARE INFORMATION SESSIONS?
The information sessions are a chance for women who have and have not
registered for recruitment to find out more about sororities the
recruitment experience. At the information sessions, you will learn about
how the entire recruitment process works, you will meet the Panhellenic
Executive Board and Recruitment Counselors, and find out everything
you need to know to be prepared for recruitment week.
IS RECRUITMENT ONLY FOR FRESHMAN?
Not at all! Saint Leo in fact has a deferred recruitment policy. This means
anybody who is Greek must be at least a second semester freshman
students. Sororities accept woman with all credit hour levels after the 12
credit minimum is reached. Sorority life has many wonderful
opportunities to offer and there is no reason to miss out on them
because you are not a freshman.
WHICH IS THE BEST SORORITY TO JOIN?
All of the sororities offer different incentives and opportunities through
their membership. It really depends on what you are looking for in a
sorority and what each has to offer your needs. The best way to find out
which sorority is right for you is to go through Panhellenic Recruitment
and ask questions and get to know the members of the different
sororities.
HOW MUCH DOES A SORORITY COST?
Financial obligations of a sorority can seem overwhelming. At Saint Leo
University, chapter dues are an average of $286 per semester for new members
and $251 per semester for initiated members. These dues go towards the many
programs, scholarships, and social events that occur throughout the year. Some
organizations will also have scholarship options from their local and national
chapter.
I AM A LEGACY TO A SORORITY- IS THERE ANYTHING I SHOULD
KNOW?
Each Potential New Member is considered on an individual basis; a legacy
is no more obligated to join a particular sorority than the sorority is
obligated to give her a bid. The Potential New Member and the sorority
should be looking for compatibility, not necessarily a family connection
to the group.
WILL BEING IN A SORORITY AFFECT MY ACADEMIC GOALS?
Being in a sorority will only have a positive effect on your academic goals.
Scholarship is the first and foremost priority to all sororities to go
through recruitment. To join a sorority, you will need at least a 2.5
cumulative GPA to join. Also, each chapter has their own minimum

GPA’s, averaging above the all-women’s average at Saint Leo. Each chapter
implements programs to assist members in their academic pursuits.
DO I NEED TO HAVE A RECOMMENDATION FROM A SORORITY
WOMAN TO GO THROUGH RECRUITMENT?
Recommendations are not necessary to go through recruitment. Although
it is a great way for sororities to be able to learn about you, you can still
get into a sorority without having a recommendation. The
recommendation provides a means of introduction and does not
guarantee an invitation to membership from that sorority. It is the
responsibility of the alumna who is completing the form to obtain,
complete and submit it in the manner and time required by her group.
Sorority alumnae need to contact each individual chapter for their
timeline.
HOW MANY BIDS CAN I RECEIVE?
Potential New Members can only receive one bid from a sorority. That
does not mean that only one sorority wanted you to join, but according
to our Membership Recruitment Acceptance Binding Agreement (MRABA)
which is signed on Preference Night you are agreeing to join one of the
two sororities you put on that list. You may choose only one for the list,
though it is not encouraged. This is referred to as “suicide bid” by many
Panhellenic members due to the possibility that you may leave off a
sorority which wanted to give you a bid but you did not choose. If you
sign the MRABA and decide not to accept a bid, you will need to wait a
full calendar year to join an NPC sorority (all sororities participating in
Recruitment except Gamma Upsilon). If you do not receive a bid on Bid
Day or drop out of Recruitment prior to Preference Night you may go
through Recruitment the following semester.
WHAT IF I ONLY WANT TO BE IN A CERTAIN SORORITY?
Potential New Members often experience the greatest disappointment
when by beginning the Recruitment process only wanting to be in one
particular sorority. Again, this is a lifelong decision and it means more
than just wearing the letters. These letters require your precious time and
energy, abiding by the rules, and living up to high standards and
expectations. Make decisions based on your own wants and needs, not
stereotypes and other’s opinions. It is encouraged for potential members
to visit each sorority’s interest parties, and to list both a first and second
choice on Preference Night and rank at least three choices after the
Interest Meetings.
IF I GO THROUGH RECRUITMENT, DO I HAVE TO JOIN A SORORITY?

You are under no obligation to join a sorority by participating in
recruitment. Sorority life might not be right for everyone; regardless,
recruitment is a great way to meet many new friends!

Rules During Recruitment
PLEASE READ AND BE AWARE OF THE INFORMATION LISTED BELOW.
Panhellenic Recruitment is defined as all participating Panhellenic sororities meeting
together with potential new members to promote interest according to the National
Panhellenic Conference’s policies.
The chapters under the National Panhellenic Conference (Sigma Sigma Sigma, Theta Phi
Alpha, Alpha Sigma Tau) and Gamma Upsilon must abide by all National Panhellenic
Conference (NPC) Unanimous Agreements.
It is in accord with the dignity and good manners of fraternity women:



To avoid disparaging remarks about any fraternity or college woman;
To create friendly relations between fraternity and non-fraternity women;
To avoid negative publicity on College Panhellenic Association matters.
I. Recruitment Requirements and Guidelines
A. Recruitment Dates and Basic Guidelines
1. Registration for Recruitment will begin August 20th and close September 14th.
Registration for 2015-2016 will be online through ICS. The registration process will
provide names and pictures. Chapters will be required to send their A List and B
List through ICS.
2. Recruitment shall be held beginning Monday, September 14th and concluding
Friday, September 18th.
3. Rules Regarding recruitment shall be upheld starting on the first day of New
Student Orientation
4. Total has been set to 61 for the 2015-2016 academic year. Total will be set again
at the end of Spring 2016.
5. Recruitment will be partially structured, meaning Tuesday and Wednesday
chapters will hold their own programming, and will not be guided by Rho Chis on
those days. On Tuesday and Wednesday, Hour parties begin at 7. The women are
allowed to go back to whatever organization they would like to go to. However, at
9 pm Wednesday all women are to return to the SAB where ranking will take place
for their preference night priority.
6. Quota will be decided for Spring Recruitment only, and will be decided at the end
of the Interest Parties on Wednesday

B. Potential Member Guidelines
1. A Potential New Member (PNM) is defined as a full-time, undergraduate student
to be eligible for Recruitment. Nothing in this requirement shall be construed to
restrict participation by those students who, for medical reasons, have received
administrative approval from the University to take less than the minimum course
load requirement.
2. The College Panhellenic Association (CPA) requires a minimum grade point
average (semester and cumulative) of a 2.5 or higher for all students wishing to
participate in recruitment. Additionally, each member group has its own
scholarship requirements for joining and being initiated into its chapter.
3. A PNM shall not be, or have ever been, an INITIATED member of a National
Panhellenic Conference (NPC) group at Saint Leo University or on any other
campus. A PNM shall not be, or ever have been, an initiated member of a National
Panhellenic Conference (NPC) group and join another NPC group.
4. A PNM shall register for formal recruitment by completing the online application
with ICS by the registration cutoff deadline of Monday, September 14th at 2pm.
PNMs that have not registered by the cutoff deadline will be ineligible to
participate in recruitment.
5. A PNM shall not have been a new member to any NPC group at Saint Leo
University within this calendar year.
6. All PNMs must attend one of the two information sessions before formal
recruitment and all events she has been offered an invitation to throughout
recruitment.
7. The affiliation of all Recruitment Counselors (Rho Chis) is remain undisclosed
during the membership recruitment period. If a PNM knows a Rho Chi’s
affiliation, they are not to reveal it to others.
8. Panhellenic nametags will be provided to the PNMs and must be given back to
the Rho Chi’s at the end of each day. This is to ensure the sororities have proper
name and spelling of potential new members
9. A PNM should make appropriate personal arrangements to attend all of the
Recruitment activities including:
a.  Greek Life Presentation and 30 Minute Interest Parties
b.  One Hour Interest Parties
c.  One Hour Interest Parties

Schedule is subject to change. All who sign up will be notified if any changes to the
schedule take place.
In the event of emergency, illness, or class, PNMs shall notify the Greek
Advisor.
10. From 8/10 through the accepting of bids, no PNM may attend a sorority offcampus event or program other than during the designated Recruitment parties.
11. No PNM may accept personal invitation to Recruitment function and/or NonRecruitment functions from a sorority member during Recruitment week. PNM’s
are required to report any illegal invitations (e.g. football games, fraternity parties,
lunch, any kind of social event, etc.).
12. PNM’s shall not give a promise, verbal or written, to join a certain Panhellenic
group before formal bids are extended on Bid Day,
13. A PNM is bound by STRICT SILENCE RULES from Preference Night until she accepts
a bid. Strict Silence is defined as no contact or conversation with any member of
a Panhellenic sorority outside of recruitment programs/parties, and no contact or
conversation with other PNMs outside of Recruitment discussions coordinated by
her Recruitment Counselor.
14. Each PNM shall complete a Formal Membership Recruitment Acceptance Binding
Agreement (MRABA) immediately following the last preference round. Each
PNM signing a formal MRABA and receiving a big at the end of recruitment shall
be bound by the agreement for a calendar year if she is at the same university,
according to the NPC Unanimous Agreements. Once a PNM signs this it cannot
be changed. This applies to all organizations except Gamma Upsilon, which is a
local chapter.
15. Any PNM who is living with a sorority member is expected to conform to all rules
of Recruitment.
16. If a PNM does not follow these guidelines, she may be withdrawn from
Recruitment at the discretion of the CPA Vice President of Recruitment.
C. Sorority Member Guidelines
All members (including alumnae and new members) are responsible for knowing and
observing the Recruitment Policies.

1. No sorority members may visit PNMs in her place of residence from August 10
until Bid Day activities conclude on September 14th.
2. Sorority women living with a PNM are not to discuss anything pertaining to
Panhellenic Recruitment. Violations will result in a judicial hearing and possible
loss of recruitment rights.
3. A sorority member living with a PNM shall not invite other sorority members to
the PNMs place of residence, nor shall she organize any social meeting between
PNMs and sorority members.
4. We are implementing partially structured recruitment this year. We also will be
having no-frills Recruitment. On Tuesday and Wednesday PNM’s may go to events
of their choosing, and can return the next day to the same chapter. They will be
listing the chapters they want Preference Night invites to on Wednesday at 9pm.
Presidents and VP’s of Recruitment will call from 10am-2pm on Thursday to invite
PNM’s, and may not give out Pref Night cards until during the Preference Night
events. Your chapter may use the Greek Office phone to call PNM’s, but must
reserve a time with Thomas Martin beforehand.
5. No member may issue an invitation of any sort or make appointments to meet a
PNM anywhere for any reason.
6. No member may arrange a date for a PNM.
7. No member shall give anything to a PNM, or vice versa (e.g. a coke or a present of
some sort) outside of a specified sorority recruitment activity.
8. There will be NO PROMISING OF BIDS, DIRECTLY OR INDIRECTLY, by a member or
alumna or a Panhellenic group. No bids will be promised even if the PNM is a
legacy of that organization.
9. Only Panhellenic representatives, advisors, alumnae, new members, and initiated
members of the sorority may assist with Recruitment during the Recruitment
process. National sorority representatives and alumnae must be identified as so
by their nametag.
10. The individual sorority recruitment chairs shall abide by the times agreed upon for
turning in party lists and ending parties. Any violations will be subject to review by
the Vice President of Recruitment and the Greek Advisor.
11. Chapters that do not pledge quota may offer bids to women who have
participated in the Recruitment process through “snap bidding.” The purpose of
“snap bidding” is to allow a chapter to extend an invitation to membership prior

to the time when bids are extended. This would only occur for women who did
not receive ANY bids but ranked during Preference Night. Panhellenic will provide
you a list of women who are eligible for snap bids at the end of Preference Night.
12. Chapters that do not pledge quota or pledged quota but did not reach total (61),
may take additional new member through Continuous Open Bidding throughout
the semester. The purpose of Continuous Open Bidding is to provide maximum
opportunities for membership to the greatest number possible and is encouraged
to all sororities on campus below total. Any matriculated, unaffiliated female
student is eligible for Open Bidding without prior participation in the Recruitment
period provided they meet the minimum standards.
13. The participation of men in membership recruitment and Bid Day activities is
prohibited. Furthermore, according to the NPC Unanimous Agreement, no NPC
women, active or alumna may participate in fraternity recruitment events.
Participation is defined as attending, planning, making decorations or promotional
materials, and wearing letters from a fraternity during the Recruitment week
periods or at events. If a fraternity is tabling, sweethearts may not participate in
the tabling. Casual contact and “liking” or commenting on fraternity posts on
social media is permitted.
14. The use or consumption of alcohol during membership recruitment and Bid Day is
prohibited.
15. There shall be no hazing during formal recruitment. The University defines hazing
as: “Hazing that causes or permits an individual, with or without consent, to
engage in activities that subject that individual or others to risks of physical injury,
mental distress, or personal indignities of a highly offensive nature, in connection
with recruitment, initiation, or continued membership of a society, fraternity or
sorority, club, or similar organized group whether or not recognized by the
University.”
16. No sorority is allowed to discriminate against a PNM on the basis of race, religion,
national origin, disability, age, veteran status, or sexual orientation.
D. Panhellenic Spirited Contact Guidelines
1. Normal Contact is defined as normal day-to-day contact with potential new
members. This may include, but is not limited to: working with a PNM during class,
contact with a PNM during another organization’s activities, interacting in another
capacity on campus (ie: being on Executive Board of an organization or team
together), saying hello on campus, and encouraging involvement in Panhellenic.
No member of a Panhellenic group shall promote their chapter in any way outside
of the designated Recruitment parties. During spring formal recruitment there will

be NO phone calls to PNMs; NO initiation of unnatural forms of communication
(NO letters, setting up meal times with PNM’s (with exception of roommates or
relatives), e-mails, IMs sent to PNMs, and NO social media); NO talking about
sororities or individual members of a sorority. A time will be set for the Normal
Contact period which will be approved by the Panhellenic Council. The National
Panhellenic Conference encourages the promotion of Greek Life in a panhellenicspirited fashion. During the rest of the year, it is encouraged that women who
meet potential new members promote all of Greek Life instead of just their
chapter. Potential New Members may have normal interaction throughout the
rest of the year.
2. Strict Silence (Hush) Period is designated as the period of time from the end of
the PNM’s last party during Preference Round until bids have been extended by
Panhellenic. During this period, there shall be no conversation or contact with
PNMs by active chapter members, new members, or alumnae.
E. Jurisdiction of the Recruitment Rules
Recruitment rules are in effect from 8/20 until the end of Bid Day activities on 9/18, and
are binding out of town as well as on campus. The rules must be voted on and approved
by the Panhellenic Council.
II. Recruitment Infractions
A. Handling Infractions of the Recruitment Rules
1. The following people are allowed to submit an infraction report form:
a) Chapter Presidents
b) Panhellenic Executive Members
c) Recruitment Counselors
d) Vice President of Recruitment
e) Any Potential New Member.
2. When a member group of Panhellenic believes there had been an infraction, a
written report, signed by the accusing Chapter President (or appropriate person,
see #1) and those who witnessed the alleged infraction to the Panhellenic
President.
3. Reports must be turned into the Panhellenic President within seven calendar days
of the occurrence of the alleged infraction.
4. The CPA President has the responsibility of notifying the accused sorority
President and their Advisor, and delivering a copy of the infraction report within
one week of receiving it.

5. A mediation between the representatives of the groups involved shall be called by
the CPA President within the next 48 hours after the accused sorority has received
a copy of the accusation. All possible attempts to reach an amicable solution
within 60 minutes must be made.
6. If the representatives of the group involved cannot reach an amicable solution,
the case must be referred within 24 hours to the Judiciary Committee chaired by
the Panhellenic President, for a decision. (The judicial committee contains
President, Vice President of Operations, Vice President of Recruitment, and Risk
Manager)
Panhellenic Recruitment
Terms(for initiates):
Active: A sorority woman who has completed her new member period
and has been formally initiated into her chapter.
Rho Chi: A disaffiliated sorority member who serves as a recruitment
counselor and serves as a guide for prospective new members.
Bid: A formal invitation to become a new member of a sorority.
Chapter Meeting: Each sorority holds a weekly meeting to keep all of the
members informed about upcoming events. Often referred to as Chapter.
Disaffiliation: The name associated with those members of the
Panhellenic staff that have temporarily disassociated themselves from
their chapter during the recruitment period in order to promote
objectivity.
Formal Recruitment: A series of events hosted by Panhellenic sororities,
scheduled and governed by the Panhellenic Council.
Informal Recruitment: For the Fall. Informal Recruitment is less
structured and allows organizations to have events outside the
structured week.
Greek: A member of a sorority or fraternity.
Initiation: The formal ceremony which brings the new members into full
membership of a sorority.

Legacy: A potential new member whose mother, sister or grandmother is
an alumna or active member of a particular sorority. Each sorority has an
individual definition and preference in regards to legacies.
National Panhellenic Conference (NPC): A conference body composed of
26 sorority’s and women’s fraternities, each of which is a Greek letter
society of college women, undergraduate women and alumna. This body
is the conference of which the UWF Panhellenic Council falls under.
National Pan-Hellenic Council: A conference body composed of 9
historically, predominately African-American, Greek letter organizations.
This includes 4 sororities and 5 fraternities, at both the college and
alumna levels.
New Member: A woman who has accepted a bid to a sorority or women’s
fraternity. After an education period of learning about the sorority, she
may be initiated.
Philanthropy: Promoting the work for charities and service organizations
through projects and activities designed to raise money for their specific
needs.
Potential New Member (PNM): An eligible woman who is interested in
becoming a member of a sorority or women’s fraternity.
Sorority: The word sorority is used to define the Greek-letters women’s
groups, some sororities also refer to themselves as women’s fraternities,
or might say “our chapter” or “our house” when referring to their
sorority.
Quota: Quota is the amount of bids that can be given out by each
sorority. Quota is usually only practiced during formal recruitment in the
Spring. Quota is decided by dividing the number of women who
participate in Preference Night by the number of chapters participating in
recruitment. Chapters will be given the Quota numbers on Wednesday
Night after the PNM’s fill out the MRABA and Preference Night forms.
Total: The max number of women each sorority may have. During the Fall
Recruitment Period, chapters may give bids up to total. If they do not
reach total, they may give out Continuous Open Bids throughout the
semester up to Total. During Formal (Spring) Recruitment sororities may
go over total by reaching Quota. However, if a sorority is at Total they
may not take new members outside of Formal Recruitment.
For Saint Leo University, Total is decided at the end of Spring
Recruitment by finding the average NPC (Tri Sigma, AST, and Theta Phi

Alpha) size after bids are given out in the Spring Formal Recruitment
period.
The average chapter size after Formal Recruitment is 61. Chapters with
less than 61 members at the beginning of Fall 2015 may recruit up to that
number.
Options for Total:
As of right now, we are using the traditional method of determining total.
However, there are several ways total can be decided. We currently are
using chapter average after Spring Formal Recruitment. We can also use
the median chapter size, or decide upon a two-tiered system. The twotiered system allows for Total to be adjusted for the Fall, and to allow
ONLY those chapters under Total to give out Continuous Open Bids. After
bidding is finished for the fall, Total will be decided upon again for the
Spring Semester using the average or median chapter size after fall
recruitment is complete.
Currently, Total is set at the end of Spring Recruitment and lasts until the
end of Spring 2016 Recruitment.
Snap Bids: Snap Bids are bids that can be given to women on Bid Day in
between the end of Preference Night and the Bid Day Ceremony. Chapters
that do not pledge quota may offer bids to women who have participated
in the Recruitment process through “snap bidding.” The purpose of “snap
bidding” is to allow a chapter to extend an invitation to membership prior
to the time when bids are extended. This would only occur for women who
did not receive ANY bids but ranked during Preference Night. Panhellenic
will provide you a list of women who are eligible for snap bids at the end
of Preference Night.
Continuous Open Bids (COB): Continuous Open Bids can be given to new
members after Bid Day. Chapters that do not pledge quota or pledged
quota but did not reach total ( ), may take additional new member through
Continuous Open Bidding throughout the semester. The purpose of
Continuous Open Bidding is to provide maximum opportunities for
membership to the greatest number possible and is encouraged to all
sororities on campus below total. Any matriculated, unaffiliated female
student is eligible for Open Bidding without prior participation in the
Recruitment period provided they meet the minimum standards.
